PAYMENT
A non-refundable reservation deposit with a minimum of 20% is required to secure the date of the event at the time of signing the contract (unless a deposit promotion is available). The agreed total payment is at all times nonrefundable. Each payment made toward Services Contract agreement should be considered non-refundable regardless of later breach by contract holder or cancellation of contract. Acceptable forms of payment are Cash, Check, Debit and/or Credit Cards.
American express credit card is not accepted. Credit Card payments can be made online using the primary email on the contract above on our payment portal – visit
www.pelazzio.com > Menu > Client Portal. It is a breach of the Contract to be more than 3 days delinquent in payments. An agreed payment plan is included as a part of the Contract and must be adhered to at all times. If a payment is more than 3 days delinquent your contract may be canceled and no money will be refunded upon cancellation. Regardless of mentioned payment plan agreement, the client understands that this contract is to be paid in full no later than 30 days before event date. Failure to have this contract paid in full before the event date may result in services not being provided, or the entire contract being cancelled.
Insufficient funds “NSF” payments and charge back credit cards will be considered a breach of the contract and Pelazzio reserves the right to charge a fee for this infraction or cancel the contract agreement. All payments paid towards the contract, including the deposit, will be forfeited and considered non-refundable. In the event of a payment being returned as a result of insufficient funds/closed account and/or any other reasons for bank rejection of payment, and if Pelazzio chooses not to cancel the Services Contract due to this breach, no other payments will be accepted unless they are cash payments.
DAMAGE WAIVER
Pelazzio implements a damage waiver plan of $2 per guest to cover any damages to the facility or building. This insurance plan does not cover overtime charges, additional guests, etc. This plan is only valid during event time.
EVENT ORDER MEETING
The Event Order Meeting (EO) is a mandatory planning session scheduled 6–8 weeks prior to the event. EO Meetings are only held on Wednesdays and Thursdays between 10am and 4pm. During this meeting, details such as room setup, catering menu, and guest counts are finalized. Changes to the guest count or services are subject to additional fees after this meeting.
NUMBER OF GUESTS
A minimum guaranteed number of guests must be provided at the time that the contract is signed. Guest numbers cannot be downgraded from the minimum guaranteed number of guests signed for in the contract or upgrades. If fewer guests attend or leave early, no refund will be issued. Additional guests can be added through the Event Planning Contact. Client will be informed of the cost per added guest.
No additional guests can be added within 30 days of the event. All goods & services must be confirmed 30 days prior to the event in the EO meeting. Changes after signing the EO may incur a
$500 penalty. Extra guests on the event day will be charged at
$125 cash per person, and Pelazzio is not responsible for any shortage of food or service for unplanned guests.
POST-CONTRACT ADJUSTMENTS
Client cannot reduce the guest count after signing. Certain services may be removed but no refunds will be issued. A credit will be issued for the same-day use only and cannot be applied to previous balances or future services.
CANCELLATIONS
All cancellations must be submitted in writing 120 days before the event. Verbal cancellations are not accepted. Payments remain due until written cancellation is accepted by Pelazzio. No refunds will be issued for deposits or amounts already paid. If a written cancellation is accepted within 120 days of the event, full payment is still due. One date change is allowed within 120 days of the original event, subject to availability (excluding May, June, July, and December). A
35% upcharge will apply.
No date changes are allowed within 120 days of the event date. EVENT INSURANCE
Event insurance is optional but strongly recommended and must be procured by the client via a reputable provider. It covers cancellations due to emergencies like accidents, weather, or death. Clients are solely responsible for obtaining and understanding their policy. All insurance-related queries must be directed to the insurer directly.
PARKING
Pelazzio is not liable for any damage to any vehicle of the Client or their guests. Pelazzio is not responsible for any theft of property that occurs. Client agrees to release Pelazzio from any and all liability for any damage to personal property and hold them harmless.
OPERATIONS & FACILITY SET-UP
Room setups, catering menu and all other details of the event will be agreed upon no later than four (4) weeks prior to the event at the Event Order (EO) Meeting. If the contract includes Pelazzio’s Catering, client will choose their menu options from our Fine Catering Menu during their EO meeting. Tables & chairs will be placed according to the floor plan based on the number of guests in the contract. Relocating the stage or dance floor after setup will incur added expense. Pelazzio staff will not do additional setup at the time of the event. Clients may set up their own decorations prior to the event, with timing coordinated in advance. Once the event has ended, the facility must be vacated completely.
A $1500 cash hourly charge will be applied for overstaying.
DECORATIONS
Decoration plans must be approved by Pelazzio Management. Clients may not take home any Pelazzio-provided decorative items such as flowers or vases. Personal decorations are permitted only after approval and must follow contract guidelines. Any damage due to non-compliant decor will make the responsible party liable.
SECURITY
Security is required for all events serving alcohol per TABC rules. The number of officers is determined by Pelazzio and is included in the total contract. All security must be provided by Pelazzio unless pre-approved. Pelazzio may hire extra officers as needed. Security officers have the authority to remove guests to ensure safety. These rules ensure a secure environment for all celebrations.
CLEANING
Pelazzio is not responsible for cleaning confetti, rice, gum, candle wax, or any extraordinary mess beyond routine cleaning. Pelazzio will determine what qualifies as routine.
A $350 cleaning fee will apply for extraordinary clean-up requirements.
PERSONAL ITEMS
All personal items brought to the facility are the client’s responsibility. Any items left behind after the event will be discarded.
ENTERTAINMENT / SOUND LEVEL CONTROL
Pelazzio reserves the right to adjust sound levels if necessary.
No music bands or heavy speakers (e.g., bass speakers) are allowed inside the venue.
PELAZZIO LIMOUSINE
Pelazzio offers Limousine Service per the Service Contract. Standard rates apply within Houston city limits. Extra charges apply outside of Houston.
PELAZZIO PHOTOGRAPHY / VIDEOGRAPHY
Pelazzio works with contracted photographers/videographers. Basic editing is included and completed within 30–60 days post-event. Additional edits may incur fees. These services are only available at Pelazzio unless otherwise agreed in writing. Offsite shoots may incur extra fees. Pelazzio decides time and location for bridal, engagement, and portrait sessions.
OUTSIDE VENDORS & SERVICE PROVIDERS
All external vendors must provide proof of
$1,000,000 liability insurance naming “Pelazzio Reception Venue LLC” as additional insured. Vendors must check in with the Banquet Manager at least 2 weeks prior to the event. No advertising by external vendors is allowed. Pelazzio reserves the right to deny service to any vendor.
No fireworks, open flames, or cooking are allowed on the premises.
REHEARSALS
Rehearsals are complimentary but must be scheduled 2–3 months in advance using Pelazzio’s form. Approved rehearsals are only Mon, Wed & Thurs between 11:00 am – 5:30 pm and limited to 1 hour. Ballroom availability is not guaranteed; alternate rooms may be used. Pelazzio may reschedule rehearsals with at least 3 days’ notice. Pelazzio does not coordinate or direct rehearsals.
LIABILITY AND ACTS OF GOD
Pelazzio does not have a backup generator. It is not liable for failure of electricity, water, gas, or other utilities.
No refunds or claims will be honored due to natural disasters or force majeure events (e.g., storms, fires). The facility is owned and managed by Zarah L.P.
FOOD AND CATERING
Leftover food served by Pelazzio may not be taken offsite and will be discarded after the event. Exception: cake from Pelazzio’s approved vendor may be taken. Outside catering vendors must handle all food service. Pelazzio is not responsible for food they didn’t prepare. Pelazzio may adjust ingredients seasonally or per chef discretion.
No liability is accepted for food allergies or dietary issues. SMOKING
Smoking is allowed only in designated outdoor areas. Anyone smoking inside will be removed.
Damage caused by smoking (e.g., burns) will result in additional fees.
DRUG USE OR POSSESSION AT PELAZZIO
Illegal drug use or possession is not tolerated on Pelazzio property. Clients must inform guests of this rule. Anyone in violation will be removed by security and denied re-entry.
CONFLICTS AND ARBITRATION
While Pelazzio reserves the right to pursue legal action through common courts of law by filing lawsuits, clients acknowledge and agree that, in cases of claims or disputes arising from any events, contracts, or upgrades, they shall primarily undergo the process of binding arbitration in the state of Texas. All client claims or disputes shall be exclusively settled through binding arbitration in Texas, with the client assuming full responsibility for the associated arbitration costs. Additionally, both parties hereby establish
Harris County, Texas as the designated legal jurisdiction for matters concerning this contractual agreement.
CREDIT CARD ON FILE
A valid credit card must be on file to cover any extra cost that might apply during the time of event. An authorization form must be signed prior to the event.
COMMUNICATION
All types of communications including agreements, changes, and requests must be in writing. Pelazzio communicates only through the email address provided by the client at the time of signing the contract. The client’s email is typed on the first page of the event contract. Feedback, complaints, and requests must be emailed to
